The Role
- Lead, mentor, and develop client-facing administrative teams, including reception, care coordination, department support, and billing.
- Drive a consistent, compassionate client experience from first contact through discharge; set service standards, monitor satisfaction, and resolve escalations with professionalism.
- Oversee scheduling and staffing to match a true 24/7 specialty and emergency caseload; manage timekeeping, attendance, and overtime controls.
- Evaluate and optimize workflows, SOPs, and communication processes to improve patient flow and administrative efficiency.
- Partner closely with hospital leadership and clinical teams to align service delivery, support seamless handoffs, and maintain clear communication.
- Manage administrative labor budgeting and financial controls; ensure accurate cash handling, billing audits, collections oversight, and end-of-month reporting.
- Champion quality, compliance, and safety; ensure accurate documentation and adherence to OSHA and hospital policies.
- Organize team meetings and training, support onboarding, and build clear career pathways to strengthen engagement and retention.
- Utilize practice management systems, workforce tools, and Microsoft Office to support data-driven decision-making.

Requirements
- High school diploma or equivalent required; associate or bachelor’s degree preferred
- 3-5 years of leadership experience in veterinary medicine, healthcare, hospitality, or a comparable fast-paced, client-facing environment
- Proven success managing, scheduling, and developing large teams in a high-volume setting
- Strong communication, coaching, and conflict-resolution skills; able to influence across departments
- Financial acumen, including workforce management and familiarity with cash handling and billing oversight
- Proficiency with practice management software, workforce/timekeeping tools, and Microsoft Office
- Comfortable working in a 24/7 specialty and emergency environment; availability for some evenings, weekends, or holidays as needed
- Ability to stand, walk, bend, and lift up to 40 lbs during an 8-hour shift; reliable attendance
- Eligibility to work in the United States
- License to practice in Maryland where applicable (for candidates who are licensed professionals such as veterinarians or veterinary technicians)
