The Role
- Co-lead client services operations in partnership with senior hospital leadership to deliver consistent, high-quality service at the front desk and across all client touchpoints (in person, phone, email).
- Supervise, schedule, coach, and develop Client Care Coordinators; recognize strong performance and support improvement plans where needed.
- Uphold and communicate service standards, policies, and procedures; conduct regular team updates and briefings.
- Oversee appointment workflows, triage communications, voicemail monitoring, and timely client callbacks.
- Resolve escalated client concerns with diplomacy; maintain a calm, solutions-focused approach in a 24/7, high-volume setting.
- Ensure reception areas remain clean, welcoming, and well-stocked; manage front-of-house supplies and inventory.
- Partner with clinical and billing teams to streamline handoffs, discharge communications, and client education.
- Manage accurate cash handling and payment reconciliation; assist with accounts receivable, disputes, and collections processes.
- Support timekeeping, scheduling, and attendance tracking; assist with performance appraisals and training plans.
- Contribute to quality-improvement initiatives and data accuracy through consistent documentation and reporting.

Requirements
- Eligibility to work in the United States
- High school diploma or equivalent; some college preferred
- 5+ years of customer service leadership or management, with 5+ years of supervisory experience
- Strong computer proficiency and data-entry accuracy; experience with practice or medical office software preferred
- Proven skills in coaching teams, de-escalation, organization, and multi-tasking in a fast-paced environment
- Veterinary or medical front-desk experience preferred
- Availability for a schedule that may include evenings, weekends, and holidays in support of a 24/7 hospital
- License to practice in New York (if clinically credentialed; not required for this non-clinical role)
